Who we are

Stokedhouse is a video production house from Ghent and the data controller for the data in this policy. We decide why and how it's used, and you can come to us with any question.

What data we collect

No more than we need. Depending on how you get in touch with us:

You contact usName, email address, phone number, company and what you tell us about your project.

You're a clientContact details, billing details, VAT number and project agreements.

You're on cameraYour image and voice, your name and possibly your job title.

You applyYour CV, portfolio, motivation and contact details.

You visit the siteTechnical data such as your browser, device and pages viewed. Partly via cookies.

When you're in front of our camera

Your image belongs to you, even when you appear in a video for your employer or a brand. That's why we work like this:

Consent upfrontAnyone recognisable on camera signs a release form beforehand. It states what the footage is used for, where and for how long.

MinorsFor anyone under 18, we always ask a parent or guardian for consent.

Behind the scenesWe only use behind-the-scenes footage on our channels if you and the client agree.

PortfolioWe only show delivered work when it's been agreed with the client.

You can withdrawDon't want to be on camera anymore? Let us know. We'll remove you from new material and from our own channels. What the client has already shared, we discuss together with them.

Raw footageAnything that doesn't make the final cut is never used elsewhere and is deleted after the retention period.

Cookies

Only essential cookies are on by default. The rest only after you agree in the cookie banner. You can change your choice anytime via Cookie settings at the bottom of every page.

Who we share it with

Only with parties that help us do our work, and only what they need for it. We make agreements with each of them on confidentiality and security.

Some services are based outside the European Economic Area, e.g. in the US. In that case, transfers only happen with legal safeguards, such as the European Commission's standard contractual clauses or the EU-US Data Privacy Framework.

No longer than needed. After that, we delete or anonymise it.

How we protect it

Raw footage and client files are kept on secure storage with backup and limited access. Only people working on a project can reach them. Our website runs fully on https and our accounts are protected with two-factor authentication.

New tools, new rules: this policy may change now and then. The date at the top always shows the latest version. If there are major changes that affect you, we'll let you know.
